This website, www.icelandguest.com, is a holiday booking site operated by Nordic Visitor Ehf., a fully licensed Icelandic travel agency located at Bríetartún 13, 105 Reykjavík, Iceland (registration no. 690405-0590).
The following booking conditions shall govern all bookings with Icelandguest.com. In these booking conditions, “you” and “your” refers to persons named on the booking and “we”, “us” and “our” refers to Icelandguest.com. Any booking made or order placed by you, whether through the company’s website or otherwise, shall be deemed as an offer by you to purchase the relevant package or other travel arrangement subject to these booking conditions.
No contract between you and Icelandguest.com shall come into existence until Icelandguest.com accepts full payment and issues a confirmation invoice. The person who makes the booking accepts these conditions on behalf of all members of the traveling party and is responsible for all payment due from the party. Booking services with Icelandguest.com are currently only available to persons who are at least 18 years old.
By submitting a booking, you warrant and confirm to us that you comply with these arrangements.
Booking and confirmation
After booking a holiday package with Icelandguest.com, you will be contacted within two working days by your designated travel consultant, who will assist with your booking and serve as your point of contact for any travel needs during your stay.
You will receive the full name and direct contact information for your travel consultant along with information about your booking, payment and what to expect during your holiday. If you are paying by credit card, no payment will be deducted from your credit card until you have been contacted by your travel consultant.
Terms of payment
A deposit of 20% of the total package price shall be paid to Icelandguest.com at the time of booking. In case of delayed payment, Icelandguest.com reserves the right to treat this as a cancellation and to withdraw confirmation of the services. The balance of the full payment is due to Icelandguest.com no later than 60 days prior to arrival. For packages booked within 60 days or less prior to arrival, the full payment shall be made at the time of booking.
In the event that Icelandguest.com is unable to obtain confirmation from the supplier, an alternative will be offered. If you do not accept the alternative, or Icelandguest.com is not able to offer an alternative, a full refund will be offered. You will be notified by your travel consultant of any relevant changes prior to issuing your confirmation invoice. If you do not accept the alternative offered, you must advise us in writing within seven days from the time you have received your full itinerary with details of all confirmed services and accommodations.
For services booked directly at Icelandguest.com, we accept all major credit cards and electronic bank transfer.
Third-party credit cards: If your travel services are being paid for with a third-party credit card, we will require written authorization to be provided by the cardholder via fax or letter.
American Express/Diners Club: Please note that American Express and Diners Club charge very high handling fees, and we regretfully must pass part of this fee – 3% of the total invoice – on to our customers.
Bank transfers: If you wish to make an electronic bank transfer and need details of our bank account, please contact one of our travel consultants.
Currency: All prices for holiday package on Icelandguest.com are listed in Euros. Likewise, all purchases are charged in Euros and all refunds are issued in Euros. Icelandguest.com accepts no responsibility for any fluctuations in currency exchange rates that might occur from the time of a booking until a refund is issued.
For all bookings, we provide the following travel documents:
- Pro-forma and confirmation invoices
- Booking overview with information about all your services in Iceland
- Electronic vouchers for each of your services
- Full itinerary
For car rental packages, we provide these additional materials:
- Map of Iceland with your route, accommodations and interesting highlights marked
- Information booklet about driving in Iceland
- More detailed itinerary including a list of optional activities and attractions in Iceland as well as general information about travelling around Iceland.
Delivery of travel documents
Travel documents will be delivered as follows:
- At time of deposit payment: You will receive the pro-forma invoice by email.
- Within 30 days of deposit payment: You will receive the full itinerary by email.
- At time of full payment: You will receive the confirmation invoice and all vouchers by email.
For car rental packages: the road map and information booklet about driving in Iceland will be sent by post within 14 days of the full payment. Please note that we must use the billing address of the credit card holder as the shipping address. If the package is booked less than one month in advance of departure, you will instead receive these items at your first accommodation in Reykjavík.
Icelandguest.com does not accept responsibility for mislaid or lost documents.
Special offers — terms and conditions
The following terms and conditions apply to all Special Offers on Icelandguest.com in conjunction with our standard booking terms for all Icelandguest.com holiday packages:
- For new bookings only
- Not valid in combination with any other discounts or promotions
- Not valid for any package customizations, such as additional nights, supplemental activities, or extra days with a rental car
- Discount will be deducted from the total price at time of booking
All cancellations must be made in writing via letter, fax or email. In conformity with standard business practices within the Icelandic travel industry, Icelandguest.com is obligated to charge cancellation fees as follows:
More than one month prior to arrival: 10%
Less than one month prior to arrival: 20%
Less than two weeks prior to arrival: 50%
Less than 72 hours prior to arrival: 100%
In the event that any of our holiday packages have stricter cancellation rules, they will be stated on our website within the details of the package information.
We strongly recommend that our customers purchase comprehensive travel insurance to avoid dispute in case of cancellation.
Changes to bookings
All requests for changes to confirmed bookings must be made in writing from the person who submitted the booking at least four weeks prior to departure. An administration fee of up to EUR 25 will be charged to the credit card used for the original booking in addition to any additional supplier costs incurred by the change(s) requested.
Please note that requests for changes to bookings usually cannot be honored within two weeks of departure.
Transfers: A booking may be transferred from one party to another, provided that the new party upholds the conditions of the booking. An administration fee of up to EUR 25 will be charged for the transfer, and both parties must assume joint liability for this fee and any other costs that may be incurred to the booking. We kindly ask that you give us reasonable notice for transfer requests.
Validity of prices
All rates quoted or shown in our tariffs include VAT and all other taxes. The rates are based on current prices and are subject to change without notice in the event of currency fluctuation, government taxes or any such cost increase that is beyond the control of Icelandguest.com. Any eventual changes in rates will not be made without at least eight weeks’ notice.
After the final invoice has been issued the price is guaranteed against any surcharge, unless an increase is due to government laws or currency changes. Icelandguest.com will absorb an amount equivalent to 5% of the total price. Any amount exceeding 5% will be charged, but should the surcharge exceed 10% the client will be entitled to cancel the booking for a full refund.
Icelandguest.com reserves the right to correct pricing in the event that a booking is made on a package or service that is wrongly priced within the booking system or wrongly quoted by a representative. In such case, the client will be notified as soon as possible and may either opt to pay the difference of the corrected price or cancel the booking for a full refund in the same currency as the purchase was made. No other compensation will be paid and Icelandguest.com shall have no further liability to the client after cancellation.
Icelandguest.com claims no responsibility for any loss, damage, accident, injury, sickness or schedule change due to weather, strike or any other cause beyond our control. Icelandguest.com acts in good faith, and cannot be held responsible for any agent, hotel, coach operator, airline, guide, restaurant or any other person’s or company’s acts, defaults or delays.
Icelandguest.com reserves the right to alter routes, itineraries or departure times, without prior notice, should the necessity arise. In the case of any changes to flights (domestic and international), the customer is responsible for any additional costs incurred as a result of such changes (i.e., additional hotel nights, meals, transfers, etc.), at the time provided. Furthermore, all optional activities and day tours are undertaken at the customer’s own risk.
We strongly advise all customers to have comprehensive travel insurance to meet all contingencies.
Icelandguest.com aims to provide outstanding customer service and, in order to do so, we maintain strict quality monitoring. If, for any reason, you are dissatisfied with your holiday package, we want to hear about it. We recommend that you contact us as soon as any incident arises. If you are unable to do so at the time, you must advise us in writing within 30 days of your return. Failure to do so may jeopardize your right to compensation.
